Job Summary:

This position is the first point of contact for our Custodial Services Department. This is a customer service role that assists in the day-to-day operations of a diverse group. The position works closely with managers to support a three shift team.

This position will provide confidential administrative support to the Physical Plant Director and management team. UW-Madison’s Physical Plant provides campus services in maintenance and operations, utilities and energy management, renovation projects and services that help operate, maintain and enhance the physical facilities of the University. Candidates with excellent communication and organization skills and experience with Microsoft Office Suite are strongly encouraged to apply.

Responsibilities:

Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision

  • 15% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 10% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 20% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 20% Assist with hiring and recruiting staff

Qualifications:

Required:
– Excellent Customer Service
– Knowledge of using Microsoft Office Suite
– Excellent administrative, organization, and computer skills
– Ability to prioritize and complete tasks on schedule
– Excellent written and verbal communication skills (ability to draft correspondence, reports, and presentations)
– Ability to keep confidentiality and work with various campus partners and customers of all backgrounds

Preferred:
– 2 or more years of professional work experience in office administration
– Previous purchasing or reconciliation experience
– Exceptional planning and project management skills
– Event planning experience
– Bilingual skills

Work Schedule:

Monday- Friday: 12:00pm- 8:30pm, 30 minutes unpaid break

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Minimum $22.00 HOURLY

The minimum hourly rate for this position is $22.00, but is negotiable based on experience and qualifications.
